Acceptance
Will my translation be accepted by IRCC?
Yes. Every Certilate translation includes a signed certification statement and follows the formatting requirements of IRCC. If a receiving office ever raises a formatting concern, we correct and re-certify at no charge.
Are your translations accepted by courts and universities?
Yes. Our certified translations are accepted by Canadian and US federal and state courts, universities and academic institutions, government agencies, consulates, and professional licensing bodies. If you have a specific receiving office in mind, contact us and we will confirm before you order.
What happens if a receiving office rejects my translation?
If any office rejects your translation due to a formatting or certification issue on our end, we correct and re-certify at no cost to you. This guarantee has no time limit. Forward us the rejection notice and we will handle it.
Do I need notarization?
Most receiving offices, including IRCC, do not require notarization. We include it only when your specific case requires it. If you are unsure we will flag it during quoting, and you can always ask us before ordering.
Process
What payment methods do you accept?
Credit card and e-transfer. Paying by credit card starts the work instantly. If you pay by e-transfer, upload the payment screenshot to your account and reference your job number in the e-transfer message so we can match the payment straight away.
How do I pay by e-transfer?
Accept your quote, send the e-transfer for the quoted amount, then upload a screenshot of the transfer to your account. Include your job number in the e-transfer message field. Once we match the payment, your translator begins work.
Do I need to create an account?
Yes, and it is created as you upload — there is no separate sign-up step. Your account holds your quote, your job number, the draft for review, your comments, and the final certified document for download.
How do I review the draft and ask for changes?
Your translator shares the draft in your account before anything is certified. You comment directly on the document — flagging a name, a date or a spelling — and your translator responds and revises. All revisions at the draft stage are free.
How do I get my finished translation?
Your translator certifies and stamps the final translation and uploads it to your account. You review it there and download the signed PDF. A wet-ink original can also be shipped by tracked mail within North America.
How does the process work, step by step?
Six steps: upload your document and get an account, receive your fixed quote, pay by card or e-transfer, your translator begins work, review and comment on the draft, then download the certified and stamped translation from your account.
Can I request changes to the draft?
Yes, and they are free. Before anything is certified you receive the full draft to review. You can flag names, dates, spellings or anything that does not look right. All revisions at the draft stage are included in your price.
Who will translate my document?
A certified human translator matched to your specific language pair and document type. Every translator has been individually vetted, holds a relevant certification such as ATA, CTI or ATIO, and has signed a confidentiality agreement. We never use machine translation for certified documents.
What if there is an error after delivery?
If an error is found after delivery, whether by you or by a receiving office, we correct and re-certify at no cost.
Pricing
How is the price calculated?
Your quote is built from the language pair, document type, page and word count, delivery speed, certification format, and notarization if required. The quote you receive is the final price.
Is the quoted price really the final price?
Yes. The price in your quote is the price you pay. It does not change after submission, after payment, or after work starts. There are no hidden fees, no additional-page charges and no surprise add-ons.
When do I pay?
When you accept your quote, by credit card or e-transfer. You upload the document and receive a fixed price and delivery date first, so you know the full cost before committing. Payment confirms the order and starts the translation — nothing is collected during the upload or quoting steps. For e-transfer, upload the screenshot and reference your job number.
Do you offer refunds?
If we cannot deliver your translation by the date committed in your quote, you are entitled to a full refund. For other circumstances, contact us — we handle requests case by case and aim to make every order right.
Delivery
How fast will I get my translation?
Standard delivery is 2 to 3 business days. Express delivery is within 24 hours of payment. Your exact delivery date is committed in your quote rather than estimated. If we miss it you are entitled to a full refund.
What is the difference between digital and shipped certification?
Digital stamp. Receive your certified translation electronically — fast, secure, and ready for online submission or printing, accepted for official use.
Ink stamp. Receive a physical copy bearing the translator’s original ink stamp and signature, ideal when an institution specifically requires a hard-copy original.
The digital stamp is accepted by IRCC, most courts and universities. The ink stamp is shipped by tracked mail within North America. Both are available at checkout.
Can you ship internationally?
We currently ship hard copies within the Canada and the United States. International shipping is not available at this time. For addresses outside North America the digital certified PDF is recommended and is accepted by most international receiving offices.
Documents
What document types do you translate?
Birth certificates, marriage certificates, death certificates, academic transcripts, diplomas, passports, driver's licenses, court documents, police records, medical records, bank statements, employment letters, immigration forms, powers of attorney and company registration documents, among others.
What file formats do you accept?
PDF, JPG, PNG or DOCX files up to 50 MB. For multi-page documents you can upload multiple files in one order. If your document is in a different format, contact us before uploading.
What languages do you support?
Arabic, French, Chinese (Simplified and Traditional), Farsi, Spanish, Portuguese, Russian, German, Ukrainian and Hindi, all into English. We add languages regularly.
My document has stamps, seals and handwriting — can you handle it?
Yes. Our translators are experienced with official documents that include stamps, official seals, notary marks and handwritten annotations. We translate and note all non-text elements in the certified output, as immigration authorities require.
Security & privacy
Are my documents secure?
Yes. All uploads use TLS 1.3 encryption. Files are stored with AES-256 encryption in access-controlled cloud infrastructure. Only your assigned translator and the Certilate quality reviewer can access your documents. We delete all files 90 days after order completion, or earlier on request.
Who sees my documents?
Only the certified translator assigned to your order, and a quality reviewer in cases of dispute. Both are bound by a confidentiality and data processing agreement. Certilate staff do not routinely access document content.
How long do you keep my documents?
Source documents and completed translations are automatically and permanently deleted 90 days after your order is marked complete. You can request earlier deletion at any time by emailing admin@certilate.com.
